Polish Invoicing Rules for Foreigners: ZUS, VAT, KSeF Explained

Polish Invoicing Rules for Foreigners: ZUS, VAT, KSeF Explained
Running a business in Poland as a foreigner means getting your head around local tax rules, and issuing invoices (faktury) is a fundamental part. So, when do you need to issue one, and what must it contain? The general rule is to issue your faktura no later than the 15th day of the month following the month of sale or service provision. Each invoice absolutely must include a sequential, unique number, the dates of issuance and sale, the full details of both the seller and buyer (including their NIP tax identification numbers), a clear description of the goods or services, and the corresponding amounts. This applies whether you're operating as a JDG (jednoosobowa działalność gospodarcza) or another business structure. Understanding your VAT status is crucial. If you're an entrepreneur exempt from VAT (zwolniony z VAT), you'll issue a faktura without the VAT amount, but it must clearly state the legal basis for your exemption. Alternatively, you might issue a simpler "rachunek" (bill or receipt) instead of a full faktura. Regardless of your VAT status, remember that invoice numbering must be continuous and unique within the series you adopt – no skipping or repeating numbers. Looking ahead, Poland's KSeF (Krajowy System e-Faktur) is also transforming invoicing, making electronic invoicing the standard for many. For compliance, you are legally required to store a copy of every invoice for 5 years. This meticulous record-keeping is vital for any potential tax audits related to your PIT (Personal Income Tax) or VAT obligations. Accuracy is key to avoiding issues with Polish tax authorities. Double-check all details, especially NIP numbers and dates, as mistakes can lead to complications, particularly when reconciling your income for PIT and VAT declarations. Ensure your numbering sequence is flawless; an inconsistent sequence can raise red flags. While these rules might seem intricate at first, they form the backbone of sound financial management for your Polish enterprise. Staying organised with your faktury directly impacts how smoothly you manage other obligations like your ZUS contributions and overall tax settlements. Navigating Polish invoicing rules, alongside managing your ZUS contributions, PIT/VAT taxes, and adapting to KSeF, can feel like a lot to juggle as a foreigner. This is exactly where Rozlio comes in.
